Job Summary:

The Student Accounts Specialist is a critical role in ensuring student success and maintaining accurate financial records. This position requires a keen eye for detail, strong organizational skills, and a commitment to providing exceptional customer service. The ideal candidate will be proficient in financial processes, particularly in higher education, and have a solid understanding of relevant regulations.

 

Essential Functions:

 

Financial Record Management:

  • Post payments received via email, online, wire transfer, and Flywire
  • Upload student bio information into TouchNet
  • Reconcile registrations and withdrawals to ensure account accuracy
  • Assist students with account inquiries and research account history
  • Balance and process daily deposits
  • Open and close PeopleSoft Cashiering
  • Balance cash and petty cash drawers
  • Maintain security of cashier bags and safe keys
  • Process deferral payment approvals and notifications
  • Process student refunds via ACH, check, and credit card
  • Request and process student, parent, and corporate recovery checks
  • Post financial aid batches
  • Assist with annual 1098-T processing and student inquiries
  • Manage the escheating process in compliance with Title IV regulations
  • Enter tuition and fee amounts into PeopleSoft
  • Resolve duplicate IDs for student accounts
  • Process class drop requests
  • Generate individual statements of accounts
  • Manage employee tuition remission processes
  • Assign and cancel PeopleSoft payment plans
  • Post book, late fee, and other miscellaneous charges and credits
  • Assign student groups for housing charges
  • Post student exchange remission
  • Process write-off reversals and reposts
  • Process returned checks, ACH, and credit card chargebacks
  • Adjust account due dates as needed
  • Run and process exception queries, analyzing data and taking corrective action
  • Assign and remove student groups and service indicators
  • Inform supervisor of account issues
  • Process corrections to ensure account accuracy
  • Collaborate with functional analysts on system upgrades
  • Post miscellaneous cash and check payments

 

Customer Service:

  • Provide customer service assistance through Avaya, direct lines, email, and in-person at the Bruin Support Services Welcome Center
  • Record account information in Salesforce
  • Collaborate with other departments to assist students

 

Administrative Duties:

  • Order departmental supplies
  • Maintain file cabinets and ensure accurate filing
  • Assist with training documentation
  • Distribute student account mail
  • Perform daily closing duties

 

Additional Responsibilities:

  • Complete other duties as assigned
  • Attend team meetings
  • Adhere to Bellevue University's Code of Ethical Conduct and Key Values
  • Comply with FERPA regulations

 

Skills & Abilities:

  • Education: High School diploma or equivalent required; Associate's degree preferred
  • Experience: Cash handling and accounts receivable experience preferred
  • Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and PeopleSoft
  • Soft Skills: Excellent communication, organizational, and customer service skills; strong problem-solving abilities; detail-oriented; self-starter; ability to work effectively in a team environment; ability to maintain confidentiality

 

Physical Requirements:

  • Frequent use of computer keyboarding, monitor viewing, and phone
