We are seeking a highly organized, motivated and creative individual to join our team as a Business and Marketing Admin. Our powerhouse team moves quickly, and we are looking for someone who is highly motivated, a team player, and can hit the ground running.

This is a unique role, as it combines administrative support with the responsibilities of a junior marketing and new business lead. As this individual and the business grows, there is opportunity for this role to develop into a 100% marketing, PR, and event coordinator position. This is an incredible opportunity for someone looking to extend their capabilities in marketing within a dynamic learning environment.

In this role, you will provide administrative support for the CEO of Black Glass, including managing her calendar, organizing meetings (including prep and logistics), arranging travel and accommodations, as well as provide ad hoc admin and operations support for the larger team. This individual will also partner closely with the CEO and other Senior Leaders on planning CMO events, internal events, growing Black Glass s CMO network, and developing marketing and thought leadership content for the business.

ESSENTIAL FUNCTIONS:

Executive Assistant for Black Glass CEO (50% of Time)

  • Manage calendars and organize meetings, both internally and with clients.
  • Prepare meeting logistics, including booking conference rooms, visiting the NY office to set up meetings and ensure they run smoothly, managing catering and printing needs, etc.
  • Arrange travel (booking flights & hotels) for Black Glass Leadership (CEO, Chief Strategy Officer, Managing Directors)
  • Manage and submit expenses for Black Glass Leadership (CEO, Chief Strategy Officer, Managing Directors)
  • Ad hoc team operational support including subscription management, track and recognize birthdays and special days, etc.

Marketing Coordinator (50% of Time)

  • Plan and help execute LinkedIn marketing and thought leadership content
  • Maintain our marketing database and customer relationship management software (no prior knowledge of software needed)
  • Prepare email communications, such as invites for marketing events
  • Help plan and execute marketing events including sponsorship events, CMO dinners, and more!
  • Design and order custom company swag

EDUCATION AND EXPERIENCE REQUIREMENTS:

  • 1-2 years in a marketing environment, with exposure to senior leaders, preferred
  • Incredibly skilled at events and the details that goes into logistics
  • Creative thinker with excellent written and verbal communication skills; must be a storyteller, visually and verbally
  • Project management, operational prowess, and ability to manage multiple projects and schedules simultaneously
  • Can-do attitude, flexibility, and willingness to be a team player
  • Strong computer skills and proficient in Google suite & Outlook: Calendar, Docs and Drive
  • High degree of executive presence, with ability to conduct yourself professionally among executives. Ability to maintain confidentiality and handle sensitive information.
  • Location: Tristate & Hybrid (required to be in the NY office for important meetings currently averaging around ~1x a week)

NYC SALARY RANGE:

The salary range for this position is $ 50,000 to $70,000. Where an employee or prospective employee is paid within this range will depend on, among other factors, actual ranges for current/former employees in the subject position; market considerations; budgetary considerations; tenure and standing with the company (applicable to current employees); as well as the employee s/applicant s background, pertinent experience, and qualifications.
