We are seeking a highly organized, detail oriented and adaptable individual to join our team as an Operations Coordinator. Our powerhouse team moves quickly, and we are looking for someone who is highly motivated, a team player, and can hit the ground running.

In this role, you will work with our small but mighty team to drive the day-to-day project management and operations of the business and ensure overall operational effectiveness, including new hire onboarding and internal process development. Additionally, you will provide administrative support for the CEO, including managing calendars, organizing meetings (managing prep and logistics), arranging travel and accommodations, and providing ad hoc support to the larger team as needed.

This role is an incredible learning opportunity, serving as a launch pad for a career as a Chief of Staff or Operational Lead. This is a great role for someone who is keen, agile, and ambitious.

ESSENTIAL FUNCTIONS:

Team Project Management

  • Run the Black Glass company calendar
  • Assist in coordinating and tracking various admin responsibilities across consulting engagements, including working with finance and legal on paperwork and invoicing
  • Creating schedules and workback plans for both internal projects and consulting engagements
  • Connect the dots on projects to help manage team capacity and prioritization

Executive Support for CEO

  • Manage calendars and organize meetings, both internally and with clients.
  • Prepare meeting logistics, including visiting the NY office to set up meetings and ensure they run smoothly.
  • Arrange travel (booking flights & hotels), submit expenses and own correspondence for CEO

Operations

  • Identify operational issues and develop new processes to resolve them
  • Plan Black Glass client events and coordinate team offsites, including coordinating schedules, booking venues, ordering materials, sending out invites, and tracking & managing budgets
  • Assist in onboarding new hires, including developing team training content in partnership with the team
  • Work with finance to track payment and budget (do not need a background in finance)
  • Support ad-hoc team operational needs

EDUCATION, SKILLS AND EXPERIENCE REQUIREMENTS:

  • 1-2 years in corporate environment, working with senior leaders, preferred
  • Excellent written and verbal communication skills; must be a storyteller, visually and verbally
  • Project management and operational prowess and ability to manage multiple projects and schedules simultaneously
  • Can-do attitude, flexibility, and willingness to be a team player
  • Strong computer skills and proficient in Google suite & Outlook: Calendar, Docs and Drive
  • High degree of executive presence, with ability to conduct yourself professionally among executives. Ability to maintain confidentiality and handle sensitive information.

NYC SALARY RANGE:

The salary range for this position is $ 70,000 to $90,000. Where an employee or prospective employee is paid within this range will depend on, among other factors, actual ranges for current/former employees in the subject position; market considerations; budgetary considerations; tenure and standing with the company (applicable to current employees); as well as the employee s/applicant s background, pertinent experience, and qualifications.
