Work Schedule/FLSA Status: 12 month / Non-Exempt.

Salary Schedule: H06/36F Compensation and benefits will be administered consistent with the Office Personnel negotiated agreement.
\r\n\r\n
Position Purpose:
\r\nThis position will support the coordination of data exchange with Community Partners.
\r\n\r\n
Essential Performance Responsibilities
\r\nServe as an assistant to Coordinator of Community Partnerships.
\r\nAnswer phones and greet internal and external customers in a professional manner.
\r\nSchedule and maintain Coordinator's calendar. Organize materials required for each day’s activities.
\r\nCompose correspondence for Coordinator’s signature.
\r\nCommunicate with Community Partner and OPS school staff to obtain requested information.
\r\nCommunicate with district-wide staff regarding procedures, deadlines, meetings and other information through the SharePoint site for Community Service Providers in Microsoft Office 365.
\r\nProcess reports, letters, etc. using MS Word merges, database merges and electronic submissions.
\r\nMonitor and download and convert files from Community Service Providers.
\r\nProduce and maintain the Service Provider Information Spreadsheet.
\r\nProduce and maintain the Contingent Worker Data Base.
\r\nCreate, proofread, update consent forms and disseminate to organizations and OPS departments.
\r\nDocument receipt of consent forms, verify consent forms using OPS Guardianship Guidelines and process the consents based on program needs.
\r\nProduce student records based on data requests.
\r\nRelease records to Service Provider organizations. Document the releases.
\r\nUsing ad hoc query, conduct regular Quality Assurance reports, and make required corrections.
\r\nDevelop and maintain an office filing system.
\r\nScan documents to electronic archives or to Infinite Campus for long-term retrieval.
\r\nPrepare agendas, attend meetings, and produce and distribute minutes.
\r\nMaintain confidential records and files in compliance with FERPA.
\r\nCoordinate workflow of records among Student Information Services teams.
\r\nSubmit Help Desk Requests for Wi-Fi, Infinite Campus accounts and for troubleshooting.
\r\nCreate Infinite Campus Sections and District Employment Assignments.
\r\nEnroll students in sections.
\r\nProvide support to Service Providers related to all aspects of Service Provider partnerships.
\r\nProvide support to school secretaries regarding Community Service Providers.
\r\nManage Community Service Provider accounts.
\r\nCollaborate with Coordinator and other OPS departments to improve and enhance data sharing.
\r\nKnowledge, Skills, and Abilities:
\r\nAbility to create, maintain, and modify documents in Microsoft Office 365 SharePoint.
\r\nAdvanced skills in Microsoft Office applications including Word, Excel (including advanced calculations), Access and PowerPoint.
\r\nAdvanced skills in Infinite Campus including searching for student/guardian data, entering data, creating district assignments, sections, enrolling students in sections, ad hoc and reports.
\r\nAdvanced keyboarding to enter data with exceptional speed and accuracy.
\r\nAbility to schedule appointments, arrange meetings, and maintain Coordinator's calendar in Office 365.
\r\nAbility to adapt to changing technology, priorities, and procedures.
\r\nAbility to communicate with community, service providers and school personnel, using tact and courtesy.
\r\nAbility to produce correspondence including letters and emails.
\r\nAbility to work with a high level of independence in a demanding work environment.
\r\nAbility to learn OPS Guardianship Guidelines and teach procedures for determining guardianship.
\r\nAbility to transfer knowledge of process to new or different situations.
\r\nAbility to guide school staff including secretaries, SSLs, Assistant Principals, and Principals in the processes required to obtain documentation of guardianship.
\r\nAbility to work cooperatively and maintain positive working relationships with fellow staff members to promote a learning and team approach.
\r\nAbility to work cooperatively to maintain workflow among different teams in Student Information Services.
\r\nAbility to maintain strict confidentiality of information.
\r\nExcellent organizational abilities and time management skills.
\r\nExcellent written and oral communication skills.
\r\nAbility to prioritize and complete multiple tasks daily.
\r\nOutstanding attendance and prior work record.
\r\nUse of proper grammar, spelling, and English usage and ability to proofread documents.
\r\nAbility to do some lifting (20-40 pounds)
\r\n\r\n
Additional Duties: Performs other related tasks as assigned by supervisor.
\r\n\r\n
Equipment: This position may require the ability to use basic office equipment such as computers, copiers, scanners, and fax machine. Must always comply with OPS’s guidelines for equipment use.
\r\n\r\n
Travel: Limited travel within the District may be required.
\r\n\r\n

\r\nThis position is treated as a full-time non-exempt classified position. The terms of your employment will be governed by applicable state laws regulating employment or teaching in a Nebraska public school and Board of Education policies, as those laws and policies may change from time to time, and the Teacher Contract. If your position is represented by a collective bargaining representative, then your employment will also be governed by a negotiated agreement between OPS and that collective bargaining representative.
